Office Manager

You are a creative office management professional that will ensure our office is a safe, welcoming, and efficient workspace for our employees and visitors. You will collaborate across teams to ensure the office areas are representative of LoanSnap’s internal brand, mission, and vision.

Our two founders, Karl Jacob and Allan Carroll, are serial entrepreneurs whose companies have helped millions of consumers from protecting them from spam to communicating with family members. Karl has raised 23 rounds of financing, created 6 companies from scratch and built products and companies that impact 10s of millions of people. Now we are helping consumers with the largest financial transaction of their lives, buying or refinancing a house using our tech to deliver smart loans that help customers get the right loan for their situation.

As the Office Manager, you will be at the forefront of LoanSnap Inc’s office space. Your experience with customer service translates to well-taken care of employees. Our team works hard, and your passion is to support them quickly and effectively.

Key Responsibilities

  • Contribute to the culture by managing a fun, positive, welcoming work environment that is also extremely organized, clean, safe and efficient.
  • Oversee the daily work activities of the office.
  • Works closely with the Front Office Administrator to execute administrative operations, events, and projects.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Stocks, organizes, and maintains kitchen inventory; builds relationships with third-party vendors for coffee supply, water service, and catering.
  • Facilitates in-office COVID-19 protocol; monitoring mask requirements, scheduling on-site testing, manages sanitation services, reviews in-office protocol with new team members and visitors, etc.
  • Manages in-office plants and third-party vendor service.
  • Leads the events committee, facilitates activities, coordinates media coverage.
  • Manages employee recognition programs.
  • Crafts and publishes monthly company newsletter.
  • Supports the onboarding function, pairing with IT for in-office workstation set-up, assists with building onboarding schedules, conducts office/property tours, reviews emergency route protocol.
  • Provides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
  • Maintains inventory of office supplies, mailing supplies, and company swag; orders new supplies as needed.
  • Maintains office files; implements an efficient system for other staff to access files and records.
  • Build a relationship with property management for assistance with facilities.
  • Manages safety and emergency procedures.
  • Performs other related duties as assigned.

  • Approachable personality and ability to apply best practices in an office setting.
  • Event planning skills and project management skills are preferred.
  • Being tech-savvy / any IT support experience is a major bonus.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Proficient with Google Suite or other word and data processing systems.


  • 1-2+ years experience in a related role preferred
  • Startup experience is a bonus
  • High School diploma or equivalent required, AA or Bachelor’s degree preferred.
